Some of you may be exploiting Dropbox as a media pool for the various special occasions in your family’s or friends’ life. This is because of the ability to share photos at best quality with those you want to share them with, including the ability for you to have people contribute photos and videos to the same Dropbox folder you have for that purpose.

In HomeNetworking01.info, I had outlined how you can integrate your Dropbox media-pool folders with your DLNA-capable NAS and Smart TV by copying them a folder on that same NAS. The use cases I was calling out regarding Dropbox media-pool folders include special occasions such as weddings or major birthdays, the children growing up including pictures of the new baby, or memorialising a loved one who had passed away including choosing the pictures to show at their funeral.

But you can have direct access to these media pools thanks to Dropbox’s first effort to target consumer-electronics devices. Here, they wrote up a native client program for the Microsoft XBox One games console. It has been achieved thanks to the ability provided by the Microsoft Universal Windows Platform to allow one to create a piece of software for a Windows 10 regular computer, a Windows 10 phone or an XBox with minimal effort to cater to that new device.

The ability to transfer files between your USB storage device and your Dropbox folders using the Dropbox app on the XBox One means that the largest screen in the house makes it easier to make a better call about what pictures and videos should be contributed or taken further. This is due to the fact that two or more people can see a larger image to make that better call.

Conclusion

What Dropbox is doing with their XBox application is to prove that they can write a native front-end program for their online storage service that is relevant to consumer-electronics devices and is presented with the 10-foot “lean-back” experience. Who knows if Dropbox will develop native client software for other smart-TV, set-top box and games-console platforms to allow users to gain direct access to this online service from the biggest screens in the house.

Viber and WhatsApp are showing themselves as capable over-the-top communications systems while OneDrive and Box.com are coming up as valid cloud-hosted storage services. But there is something very common with most of these companies where they aren’t being as proactive as Skype or Dropbox.

This is more so in the concept of licensing the front-end software for their services to device manufacturers to integrate the functionality in to their devices’ software. Skype have made strong headway with integrating their software in to a large range of smart TVs and video peripherals so that people can purchase a camera kit for these devices to convert them in to group videophones. Similarly, they helped someone else pitch an IP videophone and integrated add-on universal video camera kit in order to extend this function to additional devices. Dropbox has gained extra foothold with recent Brother printers as a “print-from-Dropbox” function while allowing owners of certain WD NAS units to make these devices serve as an on-ramp to Dropbox and Olympus integrating Dropbox upload functionality in to their latest Wi-Fi-capable voice recorder.

Ways this could happen for Viber, Skype and WhatsApp could be in the form of IP phones that integrate functionality for these services or IP-based business phone systems that allow the creation of voice / video trunks, tie-lines or messaging trunks offered by these services. Here, Skype, Viber and WhatsApp could monetise their services better by offering business telephony services with high reliability at an appropriate premium.

OneDrive,  Dropbox, Box.com and other cloud-storage services could work with device manufacturers to provide network upload functionality or a NAS vendor could offer “on-ramp” functionality or “store-and-forward” synchronisation functionality for their devices to cater for multiple NAS devices installed at different locations.

What really has to happen is for Viber, OneDrive and co to work with device manufacturers to build up interest in integrating their functionality in to the devices rather than leaving it to Skype and Dropbox to dominate the scene.

Why do I support DropBox and where do I see it be relevant?

Through this Website, I will cite and highlight Dropbox when I am talking about cloud-based file-share services and how they can be used.

One feature that I like about Dropbox is that it is not tied to a particular vendor like Microsoft or Apple. Here, you can benefit from the fact that you can share or exchange files with other users no matter their desktop or mobile computing platform. This includes the provision of first-party and third-party software that strengthens the link between the operating platforms and Dropbox.

This is extended to some NAS vendors providing software support for the Dropbox platform through desktop software or software that is part of the NAS’s operating system. Increasingly, Dropbox integration is becoming a function for many network-enabled multifunction printers where you could print from or scan to a Dropbox folder.  To the same extent, there are people who are building server-side software that integrates their server to the Dropbox platform, making it become an “on-ramp” or “shadow store” for Dropbox.

Like similar file-storage services, Dropbox is not a social network although it can work with Facebook and Twitter. For example, it can work as a file store for Facebook Groups as well as supporting single sign-on with these services.

There is a free entry-level allowance but you can buy more capacity or do things to increase capacity like inviting others to the Dropbox ecosystem so they integrate it with their regular computer. Some vendors like Samsung also provide free extra capacity to users who integrate it with their devices.

Dropbox has answered business’s needs by offering a business package that has secure encrypted storage, the ability to remotely unlink devices and other manageability expectations. The main use I see for DropBox is to exchange a large number of files or large files like videos between two or more different people rather than serving simply as personal or business offsite storage.

For example, I would upload a large collection of photos or videos to a folder on Dropbox and share this folder with other people that I choose. Or it could be to pass a large document between two or more people as part of the revision process for that document. or want to work the one document across two different computers such as a desktop and an Ultrabook. Similarly, I may use Dropbox to create a reference library of documents such as reference manuals for business or for that shared property that you are responsible for.

What I see Dropbox as is simply a agile cross-platform invitation-only file exchange for individuals and small businesses.

You attended your friend’s wedding and took a lot of choice pictures during the celebrations on that day. Now you import your pictures to your computer, use a media-management program to curate them all and manage them in to a folder tree representing that wedding and sync them to your DLNA-capable NAS for backup and availability on your fantastic smart TV.

But you want to share the images with the lucky couple without supplying a disc, or USB stick or dealing with unwieldy email attachments. You may want to post them on your Facebook or other Social Web presence or photo-share service. Here, you could use a cloud-based file-share service like Box.com or Dropbox to share these pictures so they have access to “original resolution” images to view, print out or take further.

Why “original resolution” images? Some of us want to be able to print out the pictures to put on the mantelpiece. As well, one of these pictures such as the one of the couple having the “obligatory kiss” as part of the wedding may be worth printing as a larger feature picture that is to be on the wall. Today’s cameras can yield image resolutions that are to a standard fit for printing but you need the high resolution available at the print shop.

Similarly, you may be pushing out visual-merchandising content to your two shops that you own and you want to use Dropbox as a reference point for this material. Then you want this material appearing on the TV screen attached to the DLNA-capable Sony BDP-S390 set up at each of these locations.

As well, the storage service must have a native front-end program for at least the popular desktop and mobile computing platforms.

Then you upload a folder-tree full of the choicest images to your Dropbox and sharing that with the couple and others you want to share it with. Here, you have to know each recipient’s email address so you can send an invite to view the folder full of photos. Of course Dropbox identifies through the email those who already have Dropbox accounts and lets them know that the photos are available in their Dropbox view. But if a person doesn’t have a Dropbox account, they get an email invite to set up an account for free as part of the invitation to view the pictures.

Here, they may want these pictures up on their Smart TV so they can show their family group the pictures that you took. Similarly, you have a Dropbox account and someone shared some of their choices pictures and videos with you. But you want them to be visible on your Smart TV for group viewing whenever you want.

The goal is not to share the entire contents of your Dropbox account to everyone because you may be simply using Dropbox as a data drop-off point for most of your personal and business data such as works-in-progress along with exchanging the media with your friends. Here, most Dropbox front-ends that are implemented by NAS untis typically operate on an “all-or-nothing” approach and don’t readily integrate the DLNA abilities that the typical NAS unit has nowadays.

Here, you could copy the Dropbox tree over to the NAS’s media folder. Some NAS units may allow you to add extra folders to the publicly-sharable mount point that you can share using DLNA. Here, you use the NAS’s Web control panel to add these extra root folders to the DLNA server’s folder list. In this case, you could create and share with your network a “Dropbox-Incoming” folder for this purpose.

In all cases, you need to have SMB/CIFS access to your NAS’s DLNA media directories. This would be achieved if you are already “dumping” media to your NAS and it is a good idea to create a shortcut to this on your operating system’s desktop.

You will need to perform these tasks using a competent file manager which is part of most regular-computer operating systems such as Windows, Apple Macintosh or Linux. Examples of this include Windows Explorer for the Windows environment or Finder for the Apple Macintosh environment. Things may become awkward if you are using a mobile operating environment like iOS or Android.

Make sure that you have the shell-integrated Dropbox front-end that you download from Dropbox installed on your regular (desktop or laptop) computer. This effectively integrates your Dropbox folder tree with your operating system’s folder tree and presents itself as though it is a member of Windows Explorer or Macintosh Finder. This includes making a file-by-file “mirror” of you Dropbox account’s directory layout and contents as part of your operating system’s directory tree.

Here, you use Windows Explorer or Macintosh Finder to copy the folders containing the media from Dropbox to your NAS’s DLNA media directory. You are not altering the contents of this folder in the Dropbox account but are copying it out to your NAS.

Do not move the files from the Dropbox folder because if you move them, you effectively delete them from everyone else’s Dropbox view.

In some cases, you may want to selectively copy images and videos from the Dropbox folder to your NAS for viewing on your DLNA media device. This may be important with a large media pool or a directory that contains office documents along with media files.

Using the Dropbox Web page

If you use the Dropbox Webpage to work your files, you download the folder that you want on your NAS as a ZIP file. Here, you right-click the folder (Ctrl-click with an Apple Macintosh that has a single button mouse) and select “Download” to cause the folder to be downloaded to your local hard disk as a ZIP file.

Then you use a file-decompression utility to expand the contents of this ZIP file to your NAS’s DLNA folder and make sure this is under a subfolder of its own in the DLNA folder.

Both these methods may allow you to “boil down” the folders so that you only have on your NAS the media files in that folder. This may involve a bit of hard work by you manually deleting the non-media files like executable programs, documents, PowerPoint presentations and PDF files.

Some of you may set up on Dropbox an improved “media pool” where each of you can contribute photos and videos of a special event, something the lucky couple could do after a wedding for example. Or the proud parents may create a media pool of their best images and videos of their children for the doting relatives and friends to see. This could be something where relatives and friends can have “contribute” rights to so they can pool what the baby had done while in their care.

This could be set up instead of or alongside Facebook’s new photo-pooling feature so as to provide “best-quality” images, to support videos as well as not disenfranchising people who aren’t Facebook Friends of yours.

To do this, you install FreeFileSync on your regular computer which should also have the Dropbox front-end installed. As well, you create a subfolder in your NAS’s media folder accessible by its DLNA media server that represents this media pool. Then you set up up a manual or timed sync job in FreeFileSync which links to the Dropbox folder and the aforementioned subfolder on your NAS’s DLNA media folder.

Ideas to make Dropbox work this way

Your children’s life

As you have children, you will be taking photos of them and want to share some of these photos with your relatives and friends. As well, your relatives and friends take pictures of your children at events they attend or when they have your children in their care. Similarly, when you have their children in your care or attend their events, you end up taking pictures and videos of them.

Here, you could create a shared folder in Dropbox which has all the pictures that you and your relatives or friends copy pictures and videos to concerning your children during these times. Both you and these doting relatives and friends can then see the moments that are important.

That special celebration

One person that I know of used to create a “photo board” for their parties with their guests supplying pictures that they took to appear on this photo board. A Dropbox folder which you share with each of your guests can serve as the digital equivalent of this “photo board”.

For events like weddings where there is the likelihood of many celebrations along the way like the engagement party, bucks’ night and hens’ night, you could create a “master folder” with subfolders for each of the celebrations. This is so you can maintain a master theme for the group of celebrations while you have particular folders representing, for example, the wedding day.

They are in town

Your relatives or friends have come in to town to enjoy your town’s assets and catch up with you. Most likely you establish a Facebook album for the visit, knowing they are on Facebook. But you want them to have access to the higher-grade pictures, perhaps allow them to “pool” their pictures that they took and do more. Similarly, you want them to have these pictures end up on their NAS so they can view them on their DLNA-capable TV or print them out on their printer.

Here, you could create and share a Dropbox folder tree that represents this visit alongside the Facebook or Google+ albums that you set up with them. Then they take their pictures and videos and add them to this folder tree while you shoot your pictures and videos and contribute them to that tree. This could be done for each “phase” of the trip such as specific outings.

In memorium

You can use Dropbox and your DLNA-capable NAS to memorialise a relative or friend who has passed away. Here, you raid your physical photo albums and scan all of the best pictures or go through your digital photo collection and copy pictures of them in to a folder that is shared with contribute rights amongst the family and friends via Dropbox.

Business promotions

Having your DLNA-capable Smart TVs or Blu-Ray players play media off a DLNA-shared visual merchandising directory on your NAS can become a powerful business tool. Then you use a business-capable cloud service to keep your visual-merchandising material with it being synchronised to the DLNA-shared visual-merchandising directory can permit you to create the content from home or have others like PR teams and commercial artists contribute this content off-site with the goal of this material appearing on your displays.

Here, the sync routine could be set up on a daily or twice-daily basis for your on-site server or office computer so you always have fresh material available and on the screens regularly. What about integrating NAS devices and cloud storage in desktop media-management software

There is a distinct reality that faces people who use regular computers as part of their personal or business media workflow. This is where they use the desktop media management software like iTunes, Windows Media Player, iPhoto or Windows Live Photo Gallery to curate the media collection that is on the hard disk but transfer it out to a network-attached storage device for safeguarding and continual avaiability. This could extend to us integrating content hosted on an online storage service like Dropbox or GMail.

This is being augmented by the trend with these devices effectively becoming the hub for our home media networks. But what happens is that we could do something like import photos from a digital camera or a smartphone; scan 35mm and Polaroid snapshots; rip content from optical disks or simply buy content from online services on a “download-to-own” basis, with all this content ending up on the hard disk. Typically the content is managed and curated on the regular-computer’s hard disk so as to provide fast and reliable data transfer through this process, before it is copied over the network.

But we have to make a routine out of synchronising the material that we prepare on our computers to the NAS and do this very frequently. Typically the task involves us synchronising the material using the file-system tools or third-party backup / file-sync tools. We then have to repeat this process if we update the metadata such as adding location and people tags to the pictures or simply reposition files to different folders.

Some of us may even adopt a storage strategy where we keep newer material on the computer while older material resides on the NAS. This may be done as a way to conserve the hard-disk space occupied by our media. Similarly, those of us who use laptops on the road may want the hard disks on these machines as a staging post for our media, whether to keep selected music or video content to have on the road or a temporary download point for our digital pictures like I did with the Acer Aspire S3 when I used it on my Sydney trip.

I would like to see an improved ability with media-management software to allow for integration of “off-system” resources as part of our media workflow rather than just a viewing location. This could be implemented with rules-based synchronisation that could work on a schedule, especially when we shut down the computer or put it to sleep. The file-modified test would be based on whether a file was new or had its metadata modified.

Similarly, it could be implemented through the positioning of a NAS or collection of NAS devices as primary storage locations while the local hard disk and online storage locations serve as secondary storage locations.

This may not just involve desktop media-management software but also involve working with file-synchronisation / data-backup software and data management software that is part of a network-attached-storage device or online storage service.

Three-way data storage–the way to go for the home network

There is a new trend that is affecting how we store data on our home computers and in our home network.

The three-island trend

This is the existence of three data islands

  • The main secondary storage that is part of our regular or mobile computing devices
  • A Network-attached storage system or a removeable hard disk.

The NAS would serve as a network-wide common storage destination as well as having ability to serve media data to network-capable media playback devices without the need for a PC to be on all the time. On the other hand, the removeable hard disk simply is used as an auxiliary storage destination for a particular regular computer.

  • A Cloud or remote storage service

The remote storage services like Dropbox or SkyDrive are typically used either for offsite data backup or as a data drop-off point that exists across the Internet. Most of these services work on a “freemium” business model where you have a small storage capacity available for free but you are able to rent more capacity as you need it. Some of these providers may work alongside hardware or software partners in opening up increased storage space for users of the hardware or software sold by these partners. In the same case, the remote storage services are increasingly offering business-focused packages that are optimised for reliability and security either on a similar freemium model or simply as a saleable service.

The role of file-management and backup software

Previously, backup software was charged with regularly sending copies of data that existed on a computer’s main secondary storage to removeable storage, a network-attached storage system or, in some cases, remote storage services.

New requirements

Now this software is charged with backup not just out to removeable or local-network storage, but to be able to set up storage tiers amongst this storage and remote storage. This is a practice that is familiar with large-business computing where high-cost high-availability storage is used for data that is needed most, cheaper medium-availability storage for data that isn’t as needed like untouched accounts with the cheapest, slowest storage media used for archival purposes or for data that doesn’t change.

The remote storage and the NAS or removable storage can each serve as one of these tiers depending on the capacity that the device or service offers.

Remote storage serves as temporary data location

In some cases, the remote storage may exist simply as a data drop-off point between a backup client on a portable computer and a backup agent on a network-attached storage device as part of a remote backup routine. Here, a user may back up the portable computer to a particular share in something like Dropbox. Then an agent program built in to a small-business or high-end consumer NAS would check that share and move or copy the data from Dropbox to the NAS.

Similarly, a remote storage service could work alongside a locally-installed network-attached-storage and another NAS installed at another premises for asynchronous data transfer between these devices. This can be useful if one of these devices isn’t always accessible due to unreliable power or Internet service.

In the case of that small business that starts to add branches, this concept can work well with sharing business data such as price lists or customer information between the branches. Businesses that work on the “storefront-plus-home-office” model could benefit this way by allowing changes to be propagated between locations, again using the remote storage service as a buffer.

Remote storage serves as a share-point

In some cases, a remote-storage service like Dropbox can permit you to share data like a huge image / video album between multiple people. Here, they can have access to the content via a Web page or simply download the content to local storage. In some cases, this could be about copying that image / video collection of a wedding to the “DLNA” folders on a NAS so they can view these pictures on that Samsung Smart TV anytime.

What does the software need

Backup software needs to identify file collections that exist in a backup job and make the extra copies that appear at different locations, whether as different folders on the same target drive or at a different target location. Similar a timed backup job could also encompass synchronisation or “shifting” of other file collections to one or more target locations.

Similarly, the backup routine isn’t just about “copy and compress” files to a large metafile before trransferring it to the backup destination. It is about working the collection file-by-file according to the destination.

You could do this with most software by adding extra backup jobs with different parameters. But this involves creating more large metafiles with most backup software. Here, file-synchronisation software could perform the job better by working at the file level.

Support for remote data storage in a NAS

Some network-attached-storage devices, especially those that work on an application-driven platform, work as clients to remote storage services. Here, this can cater for off-site file replication or “data-fetching” setups without a desktop or laptop computer having to be on all the time.

In some setups where portability is considered paramount, the idea of a NAS using remote data storage can allow a user to temporarily hold files destined for the remote data storage service on a NAS that is offline as far as the Internet is concerned. Then the NAS is just connected to the Internet to synchronise the files with a remote storage service.

Similarly, a media file collection that is shared via a remote data storage service like Dropbox may then end up on a NAS primarily to be made available to DLNA client devices at all times as well as not occupying precious disk space on the computer. This may be relevant for one or more large video files or a collection of many photos from that special occasion.

Conclusion

As we start to see the concept of the “three-island” data storage arrangement in our home and small-business networks, we well have to be able to work with these arrangements whether by copying or moving the data between the different storage “islands”.

Some of us may start using the cloud-driven notes storage services like Evernote or Dropbox. This is due to the ability for us to gain access to the material we create on these services from any regular or mobile computing device.

But we can be encouraged to create accounts with more than one of these services, such as through a service provider having a presence on our new computers; or our colleagues, relatives or friends recommending a particular service to us. In some cases, we may exploit a particular service as a data pool for a particular project.

Subsequently we end up with multiple “front-end” links to different cloud-based storage services on our computers and end up not knowing where a particular piece of data is held – is it on Dropbox, is it on Evernote, is it on iCloud or whatever.

Now someone has written a MacOS X app that provides the same kind of interface and useability to these cloud-based services that an email client provides to most email services. In the Apple Macintosh context, Apple Mail would be able to allow you to set up multiple email accounts such as your SMTP/POP3 mailbox your ISP gave you, your Exchange account that work gave you as well as your GMail account that you set up as a personal account.

At the moment, the software called NotesDeck, sells for $11.49 but according to the review, there needs to be a few improvements. One that was raised was that entries are listed for services that you aren’t set up with. This is compared to the typical email client that doesn’t list service types that you don’t have presence with. It could be rectified properly if the software could use a provisioning user experience similar to the typical email client where you click on “Add Account” to create details about the mailbox you are integrating to your client. 

Of course, I would like to be sure that this program does allow you to transfer notes between accounts and also between local resources such as your word-processing documents. This may be important if you intend to consolidate your cloud-based notes services towards fewer services or copy the notes out to the magnum opus that you are working on.

Similarly, the program could be ported to the Windows platform or to the mobile platforms (iOS, Android, Windows Phone 8) so that users who use these platforms can have the ability to work the multiple accounts on their devices using one program.
